Instructor Payment window
Purpose
Use this window to view and make payments to your instructors for classes taught. Each time a student is billed a payables invoice is created for the instructor based on the amount billed and the fee code assigned for that student and class. Select from all outstanding invoices or only those for which students have made payments.
To access this window
Complete one of the following to access this window.
- On the Modules menu, point to Scheduling and click Pay Scheduling Instructors. On the Pick Instructor window that displays, highlight an instructor and click Select.
- Use the keyboard shortcut Alt, M, H, Y. On the Pick Instructor window that displays, highlight an instructor and click Select.

Item descriptions
Item | Description |

Date |
Displays the current date. This value may be changed if necessary. To quickly enter today's date, press T on your keyboard. To quickly back-date or forward-date by one day, use the Hyphen key (-) and Equal key (=) on your keyboard (alternatively, use the Minus Sign and Plus Sign keys on your keyboard number pad). To quickly back-date or forward-date by one month, use the Page Up and Page Down keys on your keyboard. This box supports F6 functionality; the Choose Date window opens. |
Receipt# |
Displays the receipt number for this payment. This box only displays if you select a specific instructor, rather than All Instructors, on the Pick Instructor window. |
Location | Select the location at which the instructor payment was recorded, if different from the default. |
Tax Auth |
Select a tax authority for this paid out amount, if different from the default. This box supports F6 functionality; the Pick Tax Authority window opens. |
payment | Select the method of payment to use to pay the instructor. |
Instructor | Displays the name and instructor number of the instructor you are paying. |
Balance |
Displays the total amount owed to the instructor. This box only displays if you select a specific instructor, rather than All Instructors, on the Pick Instructor window. |
grid columns The grid may be sorted by Date, Loc, or Student. |

Pay |
Select this check box to pay the instructor for this class. |
Date |
Displays the date of a class and student combination for which to pay the instructor. |
Invoice |
Displays the invoice number of the student payment. |
Loc |
Displays the location where the instruction took place. |
Student |
Displays the name of the student who received instruction. |
Total |
Displays the total amount owed to the instructor for this invoice. This is not the total amount charged to the student unless 100% of the amount charged goes to the instructor. Typically this is a set amount or a percentage of the amount charged. |
Balance |
Displays the balance of the invoice that is owed to the instructor. The may differ from the amount in the Total column if a portion of the invoice has already been paid to the instructor. |
Amt To Pay |
The amount that will be paid to the instructor. This column automatically populates when the row is selected. Click in the column to change the amount you are paying the instructor. |
Options for displaying invoices

Select an option to display all outstanding invoices for this instructor or only those for which students have made payments. |
Total |
Displays the total amount owed to the instructor for the selected invoices. |
Item | Description |

Save |
Completes the payment to the instructor for the amount in the Total box using the method of payment in the Payment box and displays the Select Output Destination window where you can select your desired output destination and send the receipt to print preview, a printer, a file location, or email, depending on your report output selections. |
Cancel | Cancels any payment selections. |
Exit | Closes the window. |
